Salary: Starting AED 4,500 -5,500 (Based on experience)

Al Aseel Recruitment is representing a reputable Company in the UAE and is seeking a qualified Admin Executive (Male) to join its team.
Job Description:
- Supporting operations by maintaining office procedures including the filing systems – Hard and Soft Copies (Dropbox) and assisting staff/colleagues in administrative tasks i.e. Accounts /Projects/Leasing Departments etc.
- Preparing & Managing tenancy contracts and producing Ejari certificates or any other related letters for all properties owned and/or managed by the company by receiving all required details of the tenancy with documents such as Passport Copy, Emirates ID Copy, and etc, from the Leasing Manager via email as per the set SOP and keeping informed the Group Legal & Compliance Manager, if there is any change in the tenancy contract.
- Keeping and tracking stock of office supplies and placing orders when necessary and ensuring the smooth functioning of the company’s office.
- Preparing reports by reviewing and analyzing tenancy reports, summarizing information, and identifying trends based on data collected from tenancy contracts and any other custom reports as assigned by Management.
- Compiling detailed records of of tenancy contracts by preparing excel sheets or using CRM system or software as and when it is introduced by the management.
- Greeting guests and visitors with a positive, helpful attitude and always ensuring to maintain a high standard welcoming atmosphere in the office.
- Assisting guests and visitors in finding their way around the office and informing the concerned team member when the guests arrive.
- Helping and maintaining the workplace security by issuing, checking, and collecting necessary visitor logs.
- Answering phones in a professional manner and routing calls to the concerned department/colleague.
- Managing the entrance door to ensure authorized individuals are located to the designated waiting area.
- Receiving and making calls as and when required in a courteous manner in line with the highest standards set by the management.
- Ensuring to follow the Standard Operating Procedures (SOP) set by thecompany.
- Other roles & responsibilities to be assigned by the Group Legal & Compliance Manager and / or the Managing Director.
Requirements:
- Diploma or bachelor’s degree in administration, business management, hospitality or a related field.
- 3 years’ proven experience in a receptionist, front desk or administration role.
- Worked in a co-working space or business center or shared offices.
- Proficient with Microsoft Office, Word, and Excel.
- Good knowledge of client facing and administration procedures.
- Brilliant oral and written communication skills.
- Highly-analytical with strong attention to detail.
- Excellent in English and Arabic is a plus.
- Must be able to effectively multi-task, manage time-sensitive documents and have exceptional organizational skills in a fast-paced environment.
